Privacy Policy

Billvy ("we", "us", "our") is committed to protecting the privacy of Users of the Billvy platform. This Policy describes how we collect, use, disclose, and safeguard information, with reference to the Information Technology Act 2000, its associated Rules, and the Digital Personal Data Protection Act 2023.

1. Information We Collect

Provided directly

• Account information: name, email, mobile number, password
• Business information: enterprise name, GSTIN status, address, Udyam details
• Invoicing data: customer names, addresses, GSTIN, item descriptions, HSN/SAC codes, quantities, prices, tax computations
• Payment information: billing name and transaction identifiers (full card/UPI details are handled by our payment gateway and are not stored by us)
• Support communications

Collected automatically

• Usage data: pages visited, features used, timestamps
• Device and log data: IP address, browser type, device identifiers
• Cookies for session management and preferences

2. How We Use Your Information

• Create and manage your Account
• Generate and store invoices on your behalf
• Process subscription payments and billing
• Provide customer support
• Send transactional emails (invoices, receipts, service notices)
• Maintain and improve the Service's performance and security
• Comply with legal and tax obligations

We do not sell your personal information, or your customers' information, to third parties.

3. How We Share Your Information

• Service providers (cloud hosting, database, email, payment gateway) bound by confidentiality obligations
• Legal or regulatory authorities, where required by law or a valid governmental request
• A successor entity in the event of a merger or acquisition, bound by this Policy
• Any other party, only with your explicit consent

4. Data Storage & Security

Your data is stored on secure, access-controlled cloud infrastructure with encryption in transit and appropriate access restrictions. No method of electronic transmission is completely secure, and we cannot guarantee absolute security. Please keep your Account credentials confidential at all times.

5. Data Retention

We retain your data for as long as your Account remains active, and thereafter as needed to comply with applicable tax and accounting record-keeping requirements, which for GST-related records may extend several years.

6. Your Rights

• Access the personal information we hold about you
• Request correction of inaccurate information
• Request deletion of your Account, subject to legal retention obligations
• Withdraw consent for optional processing
• Raise a grievance with our Grievance Officer (below)

7. Account Deletion

You can request deletion of your Billvy account and associated data at any time. Here's how:

• Send an email to support@billvy.in from your registered email address, with the subject line "Account Deletion Request"
• Include your registered business/shop name so we can locate your account
• We will process and confirm your deletion request within 7 business days

What gets deleted: your account profile, login credentials, business information, customer records, inventory data, and staff access records.

What we retain, and why: Invoice records containing GST-related transaction data are retained for the statutory period required under Indian tax law (currently up to 6 years from the end of the relevant financial year), even after account deletion. Personal identifiers on these retained records are anonymized where legally permissible. Payment transaction records may also be retained as required by Razorpay's and applicable financial regulations.

8. Children's Privacy

The Service is intended for individuals aged 18 and above. We do not knowingly collect data from minors.

We aim to acknowledge grievances within two (2) business days and resolve them within thirty (30) days.

10. Changes to This Policy

We may update this Policy periodically. Material changes will be notified via email or in-app notice at least seven (7) days before taking effect.
